Position Summary

The Clinical Education Administrative Assistant provides administrative, organizational, and systems support to the clinical education team. This role is designed to reduce operational burden, improve efficiency, and ensure consistency across processes related to scheduling, documentation, accreditation, communication, and systems management.

Minimum Required Education and Experience

  • Associate degree (A.A.) or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination or education and experience required. Bachelor’s degree preferred.
  • 2 years of administrative support experience

 

Knowledge, Skills, and Abilities

  • Strong organizational skills and attention to detail.
  • Expertise with Microsoft Outlook, Excel, Teams, and SharePoint.
  • Ability to learn Exxat (with training) to become program super-user.
  • Clear written and verbal communication skills.
  • Professional discretion with sensitive information.
  • Ability to work autonomously with detailed instructions.

 

Job Duties

  • Systems and Platform Support
    • Assist with routine tasks in Exxat, including data entry, checklist monitoring, report pulls as directed, document uploads, as well as system-wide audits and updates.
    • Support organization and maintenance of Microsoft Teams and SharePoint, including folder upkeep, document filing, version control, and permission requests.
    • Process Affiliation Agreements through the university system for signatures and full execution.
    • Request Certificates of Insurance for clinical facility affiliates, maintain documentation and annual distribution.
    • Help maintain standardized templates, forms, and shared resources used by the clinical team.
  • Scheduling and Logistics
    • Reserve rooms for student testing, onboarding events, call-back week activities, and clinical team meetings.
    • Assist with scheduling meetings, including calendar coordination and sending meeting invites.
    • Track key dates, deadlines, and recurring tasks.
  • Administrative and Communication Support
    • Draft and send routine emails using provided templates or guidance.
    • Assist with compiling and formatting materials for meetings, presentations, and student communications.
    • Support testing logistics, proctoring exams, onboarding sessions, and recurring clinical activities.
  • Data Tracking and Reporting Support
    • Assist with tracking spreadsheets, lists, and internal documentation and reports, including annual verification of preceptors’ credentials and other clinical phase projects required for program accreditation compliance.
    • Help update shared trackers and dashboards. - Ensure data accuracy and flag discrepancies.
