Position Summary

The Program Assistant of the Elon Academy serves as a central administrative and programmatic support professional for the Elon Academy’s daily operations and signature initiatives. This role provides broad operational, logistical, budgetary, communication, and event support for the Elon Academy. The Program Assistant of the Elon Academy helps ensure the smooth implementation of student-facing programs by supporting office operations, financial processes, event logistics, student support workflows, communication efforts, assessment processes, and the development of sustainable systems and standard operating procedures. This role requires strong organizational skills, event planning and coordination, discretion, adaptability, and the ability to manage multiple priorities in a collaborative, student-centered environment.

Minimum Required Education and Experience

Bachelor’s degree
Prior experience in area(s) of college access; college advising; college admissions; student instruction, mentorship and advising; and/or other educational nonprofits
Strong interpersonal, public speaking, communication, and writing skills
Demonstrated commitment to promoting educational equity for underrepresented students

Preferred Education and Experience

Master’s degree in Education, Public Service, or another relevant field
Experience in and knowledge of Alamance County, NC; the Alamance-Burlington School System; and NC public and private universities and colleges
Spanish fluency is highly desired – conversation speaking and writing/translating

Knowledge, Skills, and Abilities

Effective communication skills (written and oral).
Ability to balance multiple tasks and responsibilities.
Ability to communicate with diverse groups including but not limited to students, parents, faculty, staff, administrators, and the general public.
Bilingual Spanish/English skills are desired, but not required
Knowledge of Excel, Powerpoint, Word, and database management.

 

Job Duties

  • Administrative Operations
    • Serve as administrative assistant, act as the primary presence and resource, and provide a welcoming and professional environment and student-centered support for the Elon Academy.
    • Provide administrative and communication support to the Director of the Elon Academy.
    • Support the Director to design and implement Elon Academy programming initiatives focused on student success, including but not limited to communications, websites, scheduling, meeting preparation, logistics, coordination, purchasing, finances, hiring, data, housing, meals, reporting, documentation, assessment, and general administrative functions to ensure efficient program delivery.
    • Collaborate with other Elon Academy team members in all phases of the program, including but not limited to the Summer Academy and Saturday Academy and provide support across all EA program areas, including curriculum, engagement, recruitment, and student leadership
  • Summer Academy Support
    • Support the development of the Summer Academy, including coordinating logistics, supporting Scholar experiences, managing schedules, and ensuring all operational components run effectively.
    • Support the planning and execution of signature experiences and events including the coordination of reservations, transportation, campus partners, catering, space setup, technology, and event logistics.
    • Manage daily operations, communications, purchasing, forms, housing, systems, and process tracking.
  • Program Coordination Assist
    • Plan, and coordinate year-round and ongoing Scholar, family, and community programs including but not limited to the College Visit Program, Saturday Academy programs, Family Engagement programs, and more.
    • Oversee logistics, event planning processes, and implementation support to on- and off-campus activities including, but not limited to coordination with various universities, travel logistics, expenses, Scholar participation, communication, day-of itineraries, and more.
    • Support, plan, and implement various initiatives throughout the year, including events, student engagement experiences, and Scholar support systems, ensuring alignment with program goals.
  • Executive Director & CAS Support
    • Provide administrative and communication support to the Executive Director, including calendar coordination, scheduling, and logistical planning.
    • Collaborate with Center staff and campus partners to distribute information to students, families, faculty, staff, and donors as needed.
    • Update publications, templates, website content, and resource materials for the Center.
    • Assist with donor acknowledgement correspondence and stewardship-related communication Assist in the co-creation, organization, and maintenance of standard operating procedures (SOPs) for Center-wide processes and recurring tasks.
    • Support assessment and strategic planning efforts by tracking progress of Center goals and objectives.
    • Assist with the creation of data collection tools (e.g., forms, surveys, spreadsheets, trackers) and help compile information for reports, presentations, and internal documents.
    • Maintain inventories of program materials, supplies, branded items, and operational resources to support efficient planning and ordering Provide ongoing support for program evaluation, tracking outcomes, and maintaining documentation for reporting purposes
  • Other duties as assigned
    • Collaborate with the Elon Academy Team and the Center for Access and Success staff members.
    • Attend and present at professional forums and conferences regionally and nationally as appropriate.
    • Stay informed of changing policies, challenges, and opportunities for underserved populations to best support Scholars and the Elon Academy program.
    • Perform other duties as assigned
