Position Summary

Under the general direction of the Vice Dean, Associate Dean for Academic Affairs and Registrar, manages registration and class scheduling functions and administers the creation and maintenance of permanent academic/administrative records for the Charlotte Flex JD Program. Assures the integrity, security, condition, and access to these documents. Although located in Charlotte, some travel to Greensboro will be required.

Essential Duties and Responsibilities:

• Assume primary responsibility for tracking and supporting part-time Charlotte Flex students and faculty.
• Coordinate mid-term and final exam scheduling and accommodations.
• Serve as secondary administrator for ExamSoft software.
• Assist with maintaining electronic and/or physical confidential student documents maintenance.
• Create enrollment, degree verification, and bar certification documents as requested.
• Manage the processes to distribute exam packets.
• Use student information system (Ellucian Colleague) to address various inquiries from students, staff, faculty, and administration, to include but not be limited to registration and class scheduling.
• Maintain an updated listing of all graduating students and bar exam results.
• Assist with the processing and tracking of dean certificates, bar certifications, and relevant forms for current year graduates as well as alumni.
• Assist with the coordination of details and activities relevant to graduation.
• Assist the Registrar with data reporting, academic catalog, and webpage maintenance as requested.
• Assist the Registrar with daily office responsibilities.
• Assist the Office of Career and Student Development (OCSD) with Character & Fitness forms, practice certificates.
• Assist with other offices such as Office of Academic Success (OAS), University Registrar, Director of Academic & Admin Services, faculty assistants, etc. as needed.
• Maintain storage of completed faculty files.
• Scan and properly index remaining alumni files.
• This position demands accuracy, honesty, integrity, and the ability to work within a diverse student body.
• Always maintain a professional appearance and demeanor.
• Other duties, responsibilities and activities may change or be assigned at any time with or without notice by the Vice Dean, Registrar, or Associate Dean of Academic Affairs.

Minimum Required Education and Experience

• Bachelor’s degree required.
• At least two years’ experience in a registrar’s office preferred but not required or an equivalent combination of relevant education and/or experience.
• Ellucian Colleague, ExamSoft experience preferred but not required; comprehensive knowledge and skills in Microsoft Office Suite required.
• Document scanning, imaging, and indexing experience preferred.
• Experience in a higher education or non-profit sector required. Academic administration or student services experience preferred.
• Demonstrated ability to maintain confidentiality.
• Ability to deal effectively with a wide range of people.
• Excellent communication and organizational skills.
• Ability to effectively prioritize, coordinate, and manage multiple tasks, projects, and responsibilities.
• Knowledge of FERPA (Family Educational Rights and Privacy Act) preferred.
• Knowledge of the American Bar Association (ABA) policies and guidelines preferred.

Shuttle Bus Operator

This position serves the students in shuttle rides to, from and around campus and the Burlington community. Adheres to all traffic laws and regulations as well as University safety standards and policies.

The floor technician position is responsible for helping to maintain a clean and safe environment for the Elon University Campus. This includes, but not limited to, custodial duties, maintaining and cleaning equipment, vacuuming, sweeping, and mopping floors, and the stripping, sealing, finishing of floors, carpet cleaning and upholstery cleaning.
