Position Summary

The program assistant is a key member of the donor relations team, with limited additional responsibilities to the advancement services and annual giving teams. The program assistant will assist in the implementation of the donor stewardship program through a variety of functions including, but not limited to, planning and executing individual and group events to thank and engage donors, preparing advancement communications, and providing overall support of the donor relations team.

Must be highly organized and efficient, with the ability to balance multiple tasks and responsibilities; demonstrate good judgment and attention to detail; show strong written, oral, and interpersonal communication skills; and work well both independently and as part of a team. This position also works closely with other departments within University Advancement and across campus.

Minimum Required Education and Experience

High school diploma or GED with a minimum of 3 years of experience working in a front desk/office support position, preferably in a higher education and/or nonprofit setting, and event planning and execution experience.

Preferred Education and Experiences

Associate, vocational, or technical school degree; Bachelor’s degree

 

Job Duties

  • Assist with the planning and execution of campus events, including contacting vendors, organizing timelines, and carrying out assigned day-of tasks
  • Carefully prepare, review, and edit various types of communications
  • Manage emails accounts for donor relations and annual giving
  • Systematically review and update credit card information for recurring gifts and sending donor packets for annual giving
  • Assist with itinerary and travel plans
  • Maintain a professional and welcoming office environment by greeting visitors, answering calls and directing specific requests to the appropriate office or staff
  • Enter and update information in constituent database (such as event RSVPs) and as projects require
  • Prepare tax receipts for gifts to the university
  • Serve as building manager
  • Participate or lead, as needed, in special department projects
  • Attend and participate in staff development opportunities
  • Assist in the management of the donor relations budget; monitor and reconcile expenses
  • Process purchase, work, print and catering orders; maintain financial records
  • Manage procurement card expenses and allocations for the donor relations team
