Position Summary

The Coordinator of Application Processing is a 9.5 month position (August-mid May) that supports the processing of undergraduate admission applications and assists with the daily coordination of student employees who help manage application materials. This position is responsible for accurately reviewing and entering application data, maintaining records in Slate and related systems, resolving routine discrepancies, and ensuring materials are processed in a timely manner. The role requires strong attention to detail, organization, and the ability to manage multiple tasks while meeting established deadlines in a busy office environment.

This position also supports the recruitment, training, and supervision of student staff by providing guidance, assigning daily tasks, and monitoring completion of work. The Coordinator of Application Processing communicates regularly with the supervisor regarding workflow progress and operational needs and remains open to learning new systems and tools that improve efficiency. The role contributes to a collaborative team environment and provides additional support during peak processing periods and admissions events.

Minimum Required Education and Experience

High school diploma or GED with minimum 1 year of experience

Preferred Education and Experience

Bachelor's degree in in relevant field of study

Knowledge, Skills, and Abilities

- Working knowledge of undergraduate admissions processes and application procedures
- Basic understanding of database systems and records maintenance practices
- Proficiency in Microsoft Office Suite and ability to learn new systems and technology as needed
- Ability to accurately review and interpret academic documents, including transcripts and school profiles
- Strong attention to detail with the ability to maintain accurate records and data entry
- Ability to organize tasks, manage multiple assignments, and meet established deadlines
- Effective verbal and written communication skills
- Ability to follow established procedures and seek clarification when needed
- Ability to provide guidance and day-to-day support to student employees and monitor completion of assigned tasks
- Comfort learning and using new tools, including emerging technologies and AI-supported resources that enhance workflow efficiency
- Willingness to explore practical applications of AI tools to support operational tasks under supervisor guidance
- Ability to maintain confidentiality and exercise discretion when handling sensitive information
- Ability to work both independently and as part of a team in a fast-paced office environment

Job Duties

  • Undergraduate Application Processing Responsible for the accurate, timely, and efficient processing of undergraduate admission applications. Processes application data by collecting and organizing materials; transcribing transcripts; attaching and indexing documents; resolving record errors; and adding detailed notations as needed to ensure data integrity. Maintains mail-opening, scanning, and indexing workflows; downloads and processes Parchment and CFNC documents; and provides regular updates to admissions staff regarding record completion. Coordinates the timely resolution of awaiting materials, maintains high school profile information in Slate, and responds to inquiries related to application documents. Investigates discrepancies, resolves issues independently, and communicates progress, concerns, and recommendations to the supervisor. Identifies process inefficiencies and contributes to continuous improvement efforts, including the exploration and implementation of AI-supported tools where appropriate. Adheres to established deadlines and quality standards in a high-volume, deadline-driven environment.
  • Student Management Recruits, hires, trains, and supervises 30+ student employees supporting the undergraduate application process. Plans and facilitates student staff orientation; establishes performance expectations and standards of conduct; and selects, trains, and manages a student leadership team. Develops, updates, and maintains training materials and manuals; designs and delivers training for application processing procedures; and maintains records of student training and skill development. Assigns daily tasks, monitors workflow and productivity, evaluates performance, and provides ongoing feedback and coaching to ensure accuracy, accountability, and timely completion of work.
  • Operational Support Serves as backup support for Admissions Records functions as needed to maintain continuity of operations. Provides phone and front desk coverage for other areas within the Admissions office when necessary and assists with weekend staffing for the Admissions Welcome Center. Supports admissions and university events as assigned and demonstrates flexibility in assisting with departmental needs.
