Position Summary

Reporting to the Director of Operations, this 12-month, full-time position manages application processes and provides support for operations within Elon University’s Isabella Cannon Global Education Center (GEC).

Minimum Required Education and Experience

Bachelor’s degree required.

Job Duties

  • Application Management
    • Manage application processes for all GEC study away programs (semester, short-term, Study USA) 
    • Track student application material submissions and proactively follows up on missing items, in coordination with GEC program managers. 
    • Coordinate registration and insurance for non-GEC, Elon cohort travel. 
    • Recommend and implement process improvements to enhance efficiency and effectiveness. 
  • Support for Communications & Outreach 
    • Support for office’s social media posts and platforms 
    • Support maintenance of the GEC website using WordPress: 
      • Perform routine content updates and ensure accuracy. 
      • Collaborate with GEC staff and University Communications to align content with university standards and style guidelines.
      • Draft and distribute the monthly Global@Elon newsletter featuring global engagement news and events. 
      • Draft content for publication, including articles for Today@Elon. 
  • Health and Safety Support 
    • Manage international insurance enrollment for students and faculty, liaising with the university’s insurance provider as needed. 
    • Monitor global health, safety, and security developments and report daily updates to relevant GEC stakeholders. 
    • Provide situational analysis for petitions to countries not in the GEC portfolio 
    • Serve as point of contact for the OSAC Academic Working Group 
    • Enroll Elon travelers in the Terra Dotta system and maintain accurate traveler records. 
    • Assist in crisis communication efforts across platforms. 
  • Other duties as assigned 
  • Budget & Finances Support 
    • Generate and manage student billing for study abroad programs, including tuition, housing, insurance, and program fees 
    • Coordinate with the university accounting and student accounts offices to ensure accurate posting and collection of charges 
    • Track payments and balances for each student participant, and follow up on outstanding balances or discrepancies 
    • Liaise with third-party providers and partner institutions abroad to process invoices and reconcile accounts 
    • Support students and parents with billing questions and provide clear, timely guidance on payment policies and procedures  Maintain accurate financial records and documentation for auditing and reporting purposes 
    • Assist with budgeting and financial planning for programs abroad 
    • Support scholarship evaluation and disbursement to student accounts 
    • Participate in pre-departure and orientation sessions to educate students on billing and payment expectations 
  • Terra Dotta Administration 
    • Serve as a point of contact for Terra Dotta (TD) system for study away and ISSS. 
    • Manage system permissions, program offerings, dates, and overall data consistency. 
    • Provide support for TD users, troubleshoot system issues, and coordinate technical support tickets with TD. 
    • Create and maintain Terra Dotta program brochures and related content.
