Position Summary

The Talent Acquisition Specialist will be responsible for providing support to campus partners through the advisement of best practices and procedures related to talent acquisition from point of posting through distribution of official offer documents. Responsibilities will include review and recommendation of sourcing channels, technical assistance and troubleshooting for campus users in the talent management system, oversight of pre-employment screenings, and creation and maintenance of new employee offer documentation. This position is expected to develop relationships with campus partners to support talent acquisition initiatives. The position must be detail oriented with proven customer service skills and strong technology capabilities.

Minimum Required Education and Experience

Bachelor’s degree in an relevant field and one to three years of relevant work experience; or an equivalent combination of education and experience. Experience working with Excel is required.

Preferred Education and Experience

Master’s degree and previous experience in HR, specifically a higher education setting. Experience with recruitment activities, exposure to immigration services.

Job Duties

  • Recruitment Operations 
    • Manage aspects of the talent management system related to recruitment activities such as job postings, completion of hiring forms, closing searches, communicating with applicants, and generating offer documents (offer letter, letter of agreement) for new hires. 
    • Monitor talent management system throughout recruitment lifecycle to maintain awareness of the status of position actions and provide support for hiring managers as necessary. 
    • Communicate with external vendors to ensure jobs are posted to the correct sourcing locations and relay accurate position information. 
    • Review all requests from hiring managers to ensure accuracy of information, completion of required fields, and consistency of formatting for public consumption. 
    • Advise hiring managers on proper position posting and hiring protocols. 
    • Act as main point of contact for all matters related to the recruitment and requests to fill a position. 
    • Manage background checks for faculty and staff candidates and all affiliated individuals. Use appropriate communication methods if any discrepancies are identified. 
    • Ensure that requirements, knowledge skills and abilities are consistent and equitable with the career stream and job level. 
    • Act as a co-administrator of PageUp, maintain current knowledge, design and maintain workflows within the platform to ensure continuous improvement and implement strategy to automate hiring process. Regularly assess, troubleshoot, and maintain platform in consultation with superuser group. Act as subject matter expert and respond to inquiries from all PageUp users. 
    • Respond to questions from employees and the public concerning HR matters that do not require the attention of the Director 
    • Collaborate with HR Operations team to ensure proper documentation for new employees and review processes for improvements 
    • Act as point of contact for receipt and payment of all recruitment and background check related invoices. 
    • Collaborate with appropriate HR staff on the annual letter of agreement process. Assist with LOAs associated with position changes as necessary. 
    • Serve as back up to department staff during periods of absence or peak periods. 
  • Immigration Support 
    • Provide administrative support related to the collection and record maintenance related to faculty and staff immigration cases. 
    • Respond to emails, calls, and general inquiries related to visa types, application process, and compliance 
    • Provide support related to required recruitment activities required for application and employment based permanent residency process 
    • Triage immigration related questions to appropriate staff/offices 
    • Provide input related to faculty and staff immigration processes and policies 
    • Post jobs as required for compliance using electronic and physical job boards 
  • Campus Trainings and Events 
    • Provide talent management system trainings for campus users related to recruitment activities. Recommend updated training content as appropriate and system deployments are implemented. 
    • Support activities organized by HR on campus (Staff Day, HealthEU day, etc.) 
    • Participate in campus sponsored activities and events (College Coffee, etc) 
  • Reporting 
    • Create monthly new hire reports for use by campus stakeholders (Payroll, Benefits, Operations, Divisional leadership, etc) 
    • Submit monthly Department of Labor report 
    • Respond to ad-hoc report requests from campus users as appropriate 
    • Provide analysis of all hiring activity including but not limited to: number of applicants, monthly job postings, application sources, etc. 
    • Collaborate with campus partners to review recruitment metrics (HRIS, IT, etc) 
    • Review annual sourcing subscriptions for efficiency and return on investment 
    • Assist with the creation of new reports through the PageUp system
